JOB DESIGN SURVEY - SPREADING THE WORD

The job design survey differs to the workplace wellbeing survey and the workplace risk assessment as the focus is on the individual worker – not on the collective team or workplace.
But the same principle applies – no survey should be a surprise.

Step 1. Give a 'heads up' to your m8tes

Give your m8tes a 'heads up' at a team or one-on-one meeting.

Remember put it in your own words to make it your own.

“Here at {insert organisation name] we are committed to addressing the causes of workplace stress. Part this is finding out how well-designed your jobs are.

Well-designed jobs are low in the qualities or factors that can lead to stress and harm – and high in those factors that we finding rewarding.

To do this we will be sending out a survey to you to assess the quality of the design of your job. This survey will take about 7 minutes and can be completed on your phone. The survey is not confidential, as I will be meeting with each of you to discuss the results of how well-designed your job is.

This survey helps to look at whether a job has been well-designed and where it might be improved by asking about the type of work you do and how you do it. The aim is to create well-designed jobs – and by doing this we will remove, reduce, and minimise the work-related factors that cause stress, and increase the parts of that job that you finds positive and fulfilling – making better, more interesting and rewarding jobs.

Like I said. Once the results are in, I will meet with each of you individually to discuss your results and we will work together to prioritise and assign the actions we take – checking back in every three months to see how we are tracking. This is not meant to be a time-consuming process – just a couple of hours across the year.

Thank you for taking the time to complete this survey. We want you to be honest, as your thoughts and experiences are going to shape the actions we take that will impact you.

If anyone would like to chat about this privately just let me know. I’m keen to hear any questions or suggestions do you have"

Close the conversation by thanking your workm8tes for their involvement in creating a mentally healthy workplace.

Step 2. Share the survey with your workm8tes

You've launched the Job design evaluation survey and logged into the No Stress M8 tool dashboard, and completed the workplace supervisor questions - this generates your unique survey link.

Grab your automatically generated link from the No Stress M8 Job design dashboard and email or text it your team8tes.

You can email your entire team in the one email or send separate personalised emails. The link automatically generated in the system is the same for all of your workm8tes. But you will get back individual results.

The results from the job design survey are not confidential. The tool produces a report for each worker for you as their supervisor to discuss with them at your next one-on-one meeting.

We've developed some draft wording you can use.

At the top, a graph will summarise the areas of job design that require attention, followed by a description and detailed breakdown of each job design element and the prioritised actions to take to address them. You can print this page and take it to your next meeting to discuss the results.

The actions are presented in order of priority based on research into the needs of your sector that will deliver the biggest impact to your workm8te. It is recommended that you address the topmost actions first and work your way down the list - giving you the biggest bang for your buck!

Take action, together

We strongly recommend that you share the results with your workm8te individually.

To share print the page and share a hardcopy or print to pdf and email it.

Give your workm8te a chance to review their report before you come together one-on-one to discuss the results and work together to develop a plan to address the actions, identifying who will take the lead for each action, and by when.

The best and longest lasting solutions are those that have been co-designed with your m8tes. We have developed a how-to on co-designing solutions to help guide your conversation.

It’s also important not to let all this hard work go to waste - regularly check in your with m8tes on the progress against these actions and report every 3 months during your regular one-on-one catch-ups. Set a calendar reminder so you don’t forget.

It can be useful to review job design as part of your workm8te's annual plan and performance discussion, so we recommend that you repeat this process annually or anytime a workm8te changes their job role.
